Accounts Payable Specialist


JOB SUMMARY

Performs moderately complex accounting assignments in accordance with standard procedures.  Solves problems and issues with vendors. Improves and creates processes as needed.  May include analyzing accounts, records, reports, journal vouchers, ledgers and other accounting documents for accuracy and completeness.  Assists in the preparation and analysis of various financial reports.

DUTIES AND RESPONSIBILITIES

Essential Functions

  • Manage all aspects of Accounts Payable
  • Accurate and timely processing of vendor invoices
  • Matching receiving/PO’s/invoice
  • Gaining appropriate approvals
  • Coding invoices with appropriate general ledger account number
  • Investigate and resolve discrepancies
  • Vendor statement reconciliations
  • Weekly payments (checks, wire transfers, EFT)
  • Interface with vendors and internal departments as needed
  • Assist in issuance of monthly financial statements
  • Reconcile accounts payable aging to the general ledger
  • Additional general ledger account reconciliations and journal entries as assigned
  • Responsible for monthly accruals
  • Assist in month-end closing procedure
  • Process annual 1099’s and W-9 maintenance
  • Maintain appropriate records and files
  • Performs other duties as assigned

QUALIFICATIONS

Required

  • Associate's degree (A. A.) or equivalent and minimum one year related experience or equivalent combination of education and experience.
  • Working knowledge of bookkeeping practices/procedures relating to accounts payable operations.
  • Demonstrated ability to perform basic mathematical functions (e.g., adding, subtracting, dividing, etc.).
  • Proficient computer skills.  Specifically in the use of spreadsheets (Excel) and MS Office applications.
  • Highly accurate and strong data entry skills. 
  • Exceptional communication and organizational skills.
  • Detailed oriented with ability to manage multiple projects.
